Close Out Candidates in franchizemanager

Maintaining an organised Candidate pipeline infranchizemanager  ensures efficient franchise recruitment. Regularly closing out inactive Candidates helps keep the open pipeline focused on active prospects.

Why Close Out Candidates?

blank Only Candidates actively moving toward a franchise agreement should remain in the “Open” bucket. Moving inactive or declined Candidates to the “All” bucket helps maintain a clear view of viable Candidates, making the open pipeline more manageable.

Close Out a Candidate

  1. On the left, clickCandidates.

  2. Open the Candidate’s profile.
  3. At the top, clickChange Status > Close / Onboard Candidate.

  4. A window will pop up. Choose one of the outcomes:

    • Appointed Franchise: The Candidate has signed the franchise agreement, have been appointed as a franchisee and is ready to move to onboarding.
    • Declined by Us: You, as the franchisor, decided not to proceed with this Candidate.
    • Declined by Candidate: The Candidate has chosen not to continue the process.
    • Timed Out: The Candidate has been inactive or unresponsive over an extended period.
  5. Add any relevant notes that may assist in future reference or reporting.

  6. Choose an outcome reason.
  7. At the bottom, clickSave.
  8. The Candidate’s status will now display as “Closed.”

Automate Closures for Inactive Candidates

To streamline the process, you can set a rule to automatically close Candidates who have been inactive for a specific period (e.g., 120 days). This setting will move inactive Candidates to the “Timed Out” status, helping you keep the open pipeline focused only on active Candidates.

Edit Closed Candidates

  1. Open the Candidate’s profile.
  2. Go to Outcome section of the Candidate profile. blank
  3. Change the notes, dates, or outcome reason as needed.

Reopen a Closed Candidate

If a closed Candidate re-engages, change their status back toWork in Progress:
  1. Open the Candidate’s profile.
  2. At the top, clickChange Status >Set to WIP (Work in Progress). blank
  3. A confirmation window will pop up. At the bottom, clickYes. blank
  4. The Candidate’s status will be set back to WIP. blank

Customise Reasons for Closing Candidates

Customising closing reasons helps provide tailored data for reporting and analysis.
  1. On the left, clickAdmin.
  2. Go to “Candidates.”
  3. Under “Candidate Outcome Reasons,” clickEdit Outcome Reasons. blank
  4. At the top, clickAdd New Outcome Reason. blank
  5. At the end of the list, a new row will be added.
  6. Enter the outcome reason in the new row. blank
  7. At the top, clickSave Changes.
  8. To delete outcome reasons, click blank Delete.
