Add and Remove Contact Attempts in franchizemanager

In franchizemanager, tracking your communication with candidates is crucial for a smooth recruitment process. 

This guide shows you how to log contact attempts, customise outcomes, and schedule follow-ups, helping you keep all interactions organised.

Add a New Contact Attempt

To log a new contact attempt for a candidate:

  1. On the left, click Candidates.
  2. Open a Candidate record.
    • Tip: To look for candidates faster, at the top, click the text boxes.
  3. Go to the “Contact Attempts” section.
  4. Click New Contact Attempt.
  5. Once you click New Contact Attempt, a window will pop up.
  6. Fill in the details:
    • Date and Time: These are automatically set to the current date and time. You do not need to change them unless you are logging a past attempt.
    • Contact Type: From the dropdown menu, select the type of outreach (e.g., phone call, SMS, email).
    • Outcome: Choose the result of the attempt. Some examples include:
      • No answer
      • Left voicemail
      • Incorrect phone number
      • Interested but unavailable
      • Not interested
    • Notes: Add additional details, if needed, for context. This is optional but can be helpful for future reference.
  7. To save your changes, at the top right, click Save & Close or Continue button below the form.
    • The Contact Attempt will now be visible in the Contact Attempts section of the candidate’s profile.

Customise Outcomes

If you need to adjust the outcomes:

  1. In the “New Contact Attempt” window, next to “Outcome,” click Edit Choices.
  2. A window will appear where you can:
    • Edit current outcomes.
    • Add new outcomes.
    • Remove outcomes you no longer need.

  3. At the top, click Add New Choice.
  4. In the text box, input the name.
  5. On the right, click Save.
  6. The new choice will be added at the end of the list.
  7. Once you’ve made all the changes, click OK.

Delete Contact Attempt

  1. Open the Candidate’s profile.
  2. Go to the “Contact Attempts” section.
  3. Select the Contact Attempt that you want to delete.
  4. A window will appear with the contact attempt that you chose.
  5. At the top left, click Delete.
  6. A confirmation window will appear. Click Yes.
    • The Contact Attempt is now removed from the Contact Attempts section of the candidate’s profile.

Schedule a Follow-up 

If you need to reach out again later:

  1. Open the Candidate’s profile
  2. At the top of the candidate’s profile, go to the “Follow-up Date & Note” section.
  3. Add a follow-up date and note for context about the contact attempt.
  4. To save your changes, at the top, click Save.

This will ensure the candidate appears in your follow-up tasks so you can stay on track.
