FZM has a built-in Candidate duplicate checking feature.
This feature will identify duplicate records and flag them with an icon to notify you, it also allows you to merge them at the click of a button. This is how it works:
- FZM automatically checks a candidate record to see if a duplicate exists.
- The system checks auto-loaded records immediately on creation and all other records are checked every night.
- It matches on Email and Cell Phone, if there is match on either of these two fields then the record is flagged as a duplicate.
Flagged records appear like this in the search results, note you can filter on them by placing a “1” in the filter box at the top of the column and pressing Enter:
Duplicate records have an additional button on the top of the Candidate record, that appears like this:
Clicking on the red flag button will open all duplicate records in a new tab, with the option (the green button) to merge all records into one. In this example there is the original record and two potential duplicates since they have the same mobile (cell) phone number:
When clicking the green Merge Records button the following will occur:
- the system works from the record you click the red flag on, let’s call this Record A
- if it has identified two other duplicate records (as in the picture above), let’s call them Record B and C
- the system will merge the data from Record B and C into Record A, then delete Record B and C
- the system merges all the fields from Record B and C into A if the field in Record A is undefined e.g. empty/blank, this includes contact details, enquiry details, etc.
- the system also copies across all Stages matched on rank (with Completed Date), Notes, Tasks, Documents, Contact persons, FDDs, Online applications
- finally the system will create a Note to advise that a merge has occurred, the note begins with “De-duplicated on…”
