Track Candidates Using Status and Stages in franchizemanager

In franchizemanager, tracking candidates through recruitment is crucial for staying organised and ensuring no one slips through the cracks. In the Candidate Module, you’ll use Status and Stages to monitor where each candidate stands, both from a high-level overview (Status) and in more detailed steps (Stages). 

This guide will show you how to effectively use these two features to manage your recruitment pipeline smoothly.

What is the Candidate’s Status?

Status provides a high level marker of a Candidate’s position in the recruitment process. It is fixed and cannot be changed.

Types of Status

  • New: Candidates are marked “New” when first created, often through auto-loaders (e.g., website inquiries).
  • Work in Progress (WIP): Once a candidate actively moves through your recruitment process, change their status to “WIP.” This status is for candidates who are currently being worked on.
  • On Hold: Use this when a candidate pauses the process (e.g., waiting for external factors like retirement or a financial decision).
  • Closed: Mark a candidate “Closed” when they are no longer active (e.g., they’ve completed the process or are no longer being considered).
  • Marketing: This is used for candidates who are in the pre-selling stage. It’s helpful when you’re loading potential candidates from marketing campaigns. Many Franchisors will not use this Status at all.

What are Stages?

Stages are customisable steps that represent key milestones in your recruitment process. While statuses show the general state, stages track specific progress. You can customise stages to match your recruitment process. Some examples of stages could be:
  • Application Submitted
  • Interview Completed
  • Offer Sent

View and Filter Candidates Based on their Status

  1. On the left, click Candidates.
  2. By default, you’ll see candidates currently active in your pipeline.
  3. At the top left, under “Status,” choose the status you want to view. You can filter them by:
    • New
    • WIP
    • On Hold
    • Closed
    • Marketing
  4. To view all candidates, at the top right, click All. This includes Candidates in “Closed” and “Marketing” statuses.

Set and Update Stages

  1. On the left, click Candidates.
  2. Open a Candidate’s profile.
    • Tip: To look for candidates faster, at the top, click the text boxes.
  3. Go to the “Sales Stage” section.
  4. To mark a stage as complete, click Date Complete next to the stage.
  5. Set a completion date. After you set a completion date, the row will change color to green.
  6. To save your changes, at the top, click Save.

Reset All Stages

To clear all of the Candidate’s completed stages and dates:
  1. Click Reset Stages.
  2. A confirmation window will pop up. Click Yes.
  3. All of the stages except the first stage will be cleared.
  4. To save your changes, at the top, click Save.

Update a Candidate’s Status

  1. Open a Candidate’s profile. 
  2. At the top, click Change Status.
  3. Click on the status to which you want to set the Candidate.
  4. To save your changes, at the top, click Save.
